Donations

The CUT Library will accept donations under the following conditions:

  • The material of the donation falls under the collection growth aims.
  • The acceptance of the donation does not entail high storage and maintenance costs unless this cost sums up to the high benefit of the acquisition.

The donations are being evaluated by a committee consisting of librarians with special knowledge and experience in the subject of the donated material. In special occasions academics with relevant cognitive subject take part in the evaluation of a donation. For the decision to accept or not a donation, several parameters are taken into consideration, such as the general collection growth politics, any necessity for the creation of multiple copies inside the collection, the natural condition of the material and the terms of the donor.

 

Procedure for accepting - rejecting a donation:

1.    If the donation consists of less than 100 volumes: The donor sends a letter to the Library director regarding the donor he wishes to do. The letter must include a concise description of the material, its subject, as well as data such as size, shape, weight, antiquity and any special description characteristics of the material.

2.    If the donation consists of more than 100 volumes and less than 1000: The donor sends a letter to the Library Director who in his/hers turn address the letter to the Library Committee. The letter must include a concise description of the material, its subject, as well as data such as size, shape, weight, antiquity and any special characteristics of the form of the material.

3.    If the donation consists of more than 1000 volumes: The procedure for accepting - rejecting a donation follows the next three stages:

  • The donor sends a letter to the Library director who, through the Library Committee addresses the letter to the Interim Governing Board. The letter must include a concise description of the material, its subject, as well as data such as size, shape, weight, antiquity and any special characteristics of the form of the material.
  • The Interim Governing Board forms a committee which evaluates the donation and if found necessary, it may ask for a study and autopsy of the material. The committee will make any necessary suggestions to the Interim Governing Board.
  • The acceptance procedure of the donation is completed with the signing of a document from both the donor and the Interim Governing Board, where the donation is being described in detail as well as the acceptance, processing and administration terms.
