PART I. Institutional Repository KTISIS
Creation of Institutional Repository KTISIS
During the 35th Conference of the Administrative Committee the creation of an institutional repository of the University, named “KTISIS” following a suggestion of the Library.
1. KTISIS
KTISIS is an institutional repository of open access which includes any material concerns the research activities of the Cyprus University of Technology (CUT). The data of spiritual life of Cyprus are concentrated in KTISIS as well as the research activity of the University, preserving, disseminating and promoting the scientific research to the local and global scientific community. Through a central point of research, the repository (http://ktisis.cut.ac.cy/) makes the search and finding of all the scientific publishing elaborated in association with CUT providing at the same time a possibility of access to the full text of the publishing.
1. Concentration and dissemination of the intellectual production of CUT in several forms (texts, sound, photography, film)
2. Ensuring of the quality of the material and the long-term of intellectual content
3. Preserving and promotion of intellectual heritage of Cyprus
4. Participation and development of cooperation with global repositories
PART II. Policy of management
o KTISIS concentrates preserves and disseminates material that is relevant to the research and the CUT’s activities.
o The archives that are published in this have open access and are recoverable by any user on the internet, except of the cases in which the policy of open access come into conflict with the copyrights of third parties (publishers). In these cases only the bibliographical data are available as well as the online address of the exhibit. This is applied for the period of time within which the restriction terms exist.
o The archives included in the repository will have to be produced by the members of the academic community as well as the members of the University’s Administrative Services (AS).
o KTISIS possibly includes projects elaborated by the Academic Staff before their hiring at CUT.

Research projects
o On the 20-21st of April 2007/21st Meeting, the Temporary Administrative Committee (TAC) decided to give guidance to the members of the academic staff of the University to address their publishing to the University and furthermore to offer a copy of their publishing or of their books at the Library. At the same time, it was decided that all the members of the TAC to offer their books and articles at the Library in order for them to be registered.
o On 12-13 of December 2008/35th Meeting, the TAC approved the obligatory offering the dissertations, the postgraduate and doctoral theses of the students of CUT to the Institutional Repository of CUT.
o The KTISIS provides to the CUT members the possibility of offering of scientific material to the CUT members.
o For the cases that the policy of open access comes in conflict with the copyrights of third parties (publishers), only the bibliographical data are provided as well as the online address of the exhibit. This is valid for the time period within existing restrictive terms.
o For the cases that restrictive terms are permanently valid (e.g. book chapters), only the bibliographical data of exhibit are in disposal, while the full text is accessible only following a writer’s permission.
o If a member of academic staff / researcher, visitor academic stops being a member of academic community of CUT, the publishing elaborated until the moment he left CUT, they remain at KTISIS.
o Past editions of projects that have been already submitted in KTISIS are not withdrawn and are not replaces from newer editions. The writers are encouraged to submit new editions as separate projects.
o The publishing submitted in KTISIS are not assessed from any scientific committee of the repository. Their validity and authenticity is under the responsibility of their writers.
o The supervision and controlling of the meta-data and publishing reposed in KTISIS are subject to the Management Team of the Repository.

- Αποσκοπεί στη μακροπρόθεσμη διατήρηση της ακαδημαϊκής παραγωγής και στη μόνιμη πρόσβαση σε αυτή. Δε συνίσταται η απομάκρυνση κανενός είδους περιεχομένου από το ΚΤΙΣΙΣ.

Λόγοι για την απομάκρυνση αντικειμένων αποτελούν:
- αποδεδειγμένη παραβίαση των πνευματικών δικαιωμάτων
- νομικές απαιτήσεις και αποδεδειγμένες παραβιάσεις
- πλαστογραφημένη έρευνα
- Διαγραφή τεκμηρίου σημαίνει την απομάκρυνση του ίδιου του τεκμηρίου καθώς και των μεταδεδομένων του όπως αυτά ορίζονται στην ενότητα Μεταδεδομένα.
4. Metadata
The meta-data concern data which describe other data. For every exhibit, KTISIS created on registration of meta-data, description of which is realized based on the standard Dublin Core. The registrations created are available to the search engines in the internet and are distributed to other libraries and research centers in order to be included to their catalogues. The access to the documents’ metadata is open for all the users and it is not subject to the restrictive terms. Also, KTISIS provides his meta-data to several meta-data accumulators implementing the protocol of metadata harvesting OAI-PMH (Open Archive Initiatives - Protocol for Metadata Harvesting). Meta-data can be reused in any mean for non-profit organizations without previous permission by KTISIS
PART ΙΙΙ. Submission Procedure
The reposit of exhibits in KTISIS can be done with two ways:
o Email to the emailing address library.dspace@cut.ac.cy
o Self-archiving method: registration and acceptance of user to the system where he/she can repose his/her project.
Regarding thesubmission at the repository it is subject of the registration of the user at KTISIS. The team of management of repository grants the right to the user to reposit his/her project to the corresponding collection.
The reposition of the exhibit is done online by the user, who after connecting to the institutional repository, he follows the predicted procedure of reposit:
o Reposit of description data of the exhibit
o Reposit of exhibit in pdf form
o Selection of Permission of Creative Commons
o Acceptance of the License of the Online Disposal of Content
When the exhibit enters successfully in the system and before being published in KTISIS, there are some stages of control:
o Proceeding and control of meta-data
o Posting online
Then, a permanent URL on internet it is given to the exhibit as identifier. The specified identifier remains stable for every exhibit, even if the system accepts changes or is transferred to new equipment. The permanent URL are attributed (based on the system Handle which is manages and creates permanent identifiers, known as “handles”) for digital exhibits and other sources of internet.
The full texts of the projects are sent to the Departments with the corresponding incident to publishing or not with the objective the ensuring of the quality of content. The full text of the project will be disposable or not pursuant to the limitations declares by the creator with the reposit of the License of the Disposal of the Content and after ensured by the Secretarial of the Department that this constitutes of the final form of the project.
Documents specifications
Every archive of text will have to be reposed in pdf form. The pdf file have to be true copy of the thesis as this was submitted by the Department. Many projects are accompanied from files of other form which have to be compressed and reposed in zip. File. Winzip is the most widespread form of compressed archives.
PART IV. Terms of disposal of content
Πτυχιακή εργασία, μεταπτυχιακή και διδακτορική διατριβή
Τα δικαιώματα πνευματικής ιδιοκτησίας ανήκουν στον εκάστοτε συγγραφέα, ο οποίος ύστερα από τη σχετική αποδοχή των όρων της Άδειας ηλεκτρονικής διάθεσης περιεχομένου, παραχωρεί στη Βιβλιοθήκη το μη αποκλειστικό δικαίωμα δημοσίευσης και διάθεσης της ηλεκτρονικής μορφής της εργασίας του στο διαδίκτυο. Το έργο διατίθεται μέσω του ιδρυματικού καταθετηρίου για εκπαιδευτικούς, ερευνητικούς, ιδιωτικούς και όχι για εμπορικούς σκοπούς σύμφωνα με την πολιτική πρόσβασης που έχει καθοριστεί:
- Ο αναγνώστης μπορεί να χρησιμοποιεί ελεύθερα το υλικό για ερευνητικούς και εκπαιδευτικούς σκοπούς σύμφωνα με τους όρους της άδειας Creative Commons.
- Απαγορεύεται η εμπορική εκμετάλλευση των τεκμηρίων του καταθετηρίου χωρίς τη γραπτή συγκατάθεση του δημιουργού και κατόχου των πνευματικών δικαιωμάτων.
Η διάθεση του πλήρους κειμένου καθορίζεται ανάλογα με βάση το είδος της δημοσίευσης:
Δημοσιευμένα άρθρα σε περιοδικά
Ο συγγραφέας ενδεχομένως να μην έχει το δικαίωμα διάθεσης του άρθρου του στο ΚΤΙΣΙΣ. Σε αυτή την περίπτωση η Βιβλιοθήκη δημιουργεί την εγγραφή με τα μεταδεδομένα που αφορούν στη συγκεκριμένη δημοσίευση. Η πρόσβαση στο πλήρες κείμενο του άρθρου είναι εφικτή μόνο μέσω του συνδέσμου URL, ο οποίος παραπέμπει στο επιστημονικό περιοδικό (με την προϋπόθεση ότι η Βιβλιοθήκη έχει πρόσβαση σε αυτό μέσω των ηλεκτρονικών πηγών της).
Προ-δημοσιευμένα άρθρα (pre-publication web posting)
για τα άρθρα που δεν έχουν υποβληθεί ακόμα σε κάποιο περιοδικό, ο συγγραφέας διατηρεί τα πνευματικά δικαιώματα και τα άρθρα δημοσιεύονται ελεύθερα στο ΚΤΙΣΙΣ μετά από την άδεια του συγγραφέα. Πολλοί εκδότες έχουν αναγνωρίσει το γεγονός ότι η ανάρτηση προ- δημοσιευμένου άρθρου στον παγκόσμιο ιστό αποτελεί κοινή πρακτική αφού ολοένα και περισσότεροι εκδοτικοί οίκοι έχουν υιοθετήσει αυτή την πρακτική. Η πολιτική που ακολουθούν στο παραπάνω θέμα οι εκδότες είναι διαθέσιμη στον ιστότοπο Sherpa and Romeo.
Βιβλία (books)
Τα πνευματικά δικαιώματα του βιβλίου καθορίζονται από τον εκδότη.Η Βιβλιοθήκη αγοράζει τα βιβλία των μελών ακαδημαϊκού προσωπικού και δημιουργεί την εγγραφή με τα μεταδεδομένα που αφορούν το συγκεκριμένο βιβλίο.
Κεφάλαια από βιβλία (book chapters)
Τα πνευματικά δικαιώματα σε κεφάλαια από βιβλία καθορίζονται από τον εκδότη. Η Βιβλιοθήκη αγοράζει τα βιβλία των μελών ακαδημαϊκού προσωπικού και δημιουργεί την εγγραφή με τα μεταδεδομένα που αφορούν το συγκεκριμένο βιβλίο.
Ηλεκτρονικά Βιβλία (ebooks)
Τα πνευματικά δικαιώματα σε ηλεκτρονικά βιβλία καθορίζονται από τον εκδότη. Η Βιβλιοθήκη δημιουργεί την εγγραφή με τα μεταδεδομένα που αφορούν τη συγκεκριμένη δημοσίευση. Η πρόσβαση στο πλήρες κείμενο του βιβλίου είναι εφικτή μόνο μέσω των ηλεκτρονικών πηγών της Βιβλιοθήκης.
Πρακτικά συνεδρίων (conference papers)
Τα πνευματικά δικαιώματα σε δημοσιεύσεις συνεδρίων καθορίζονται από τον εκδότη. Η Βιβλιοθήκη δημιουργεί την εγγραφή με τα μεταδεδομένα που αφορούν τη συγκεκριμένη δημοσίευση. Η πρόσβαση στο πλήρες κείμενο είναι εφικτή μόνο μέσω των ηλεκτρονικών πηγών της Βιβλιοθήκης.
Εκθέσεις (reports)
Ο συγγραφέας κατέχει τα πνευματικά δικαιώματα της έκθεσης και μπορεί να δημοσιεύσει την έκθεση του στο ΚΤΙΣΙΣ.
Πατέντες (patents)
Ο συγγραφέας κατέχει τα πνευματικά δικαιώματα της πατέντας και μπορεί να δημοσιεύσει την πατέντα του στο ΚΤΙΣΙΣ.
Περιλήψεις (abstracts)
Οι περιλήψεις επιστημονικών δημοσιεύσεων μπορούν να δημοσιεύονται ελεύθερα στο ΚΤΙΣΙΣ.
Άδεια Ηλεκτρονικής Διάθεσης Περιεχομένου
The License of Online Disposal of Content (see Exhibit 1-4) constitutes of the official agreement between the creator / holder of the copyrights and the Library. For the Library this consists of the term which KTISIS acquires for the correct management of digital material. For the writer this consists of a confirmation that that KTISIS do not acquire the copyrights of his/her project. The creator has to have the possibility to read the license before the completion of the reposit procedure. The non-providing of license do not deletes the submission of the exhibit. The exhibit remains on the page “MY KTISIS” (http://ktisis.cut.ac.cy/password-login) where the writer can either remove the registration from the system, or agree at a later stage with the terms of permission after questions relative with these are responded. In the terms of permissions it is obligatory to clearly cover 4 main issues:
1.The right of the creator to reposit the exhibit as genuine project of his/hers.
2.the keeping of copyrights of the creator and the future exploitation of his/hers project
3.the right of the institutionary reposit for processing
4.the material removal
